In a notice on Monday, December 1, NEA noted that all organisations are required by law to keep detailed employee records and submit a yearly return covering the full calendar year.
“An employer shall keep a register in which the employer shall enter the full name, age, sex, occupation, date of employment, nationality and educational level among others for each of their employees.
“A return of employees for each calendar year, ending 31st December, containing such information shall be sent to the Director not later than 31st January of the following year,” the notice read.
NEA further reminded employers that the returns for the 2025 calendar year must be submitted by January 31, 2026.
It advised organisations to ensure they comply early and use the designated online platform to avoid delays.

“This notice is therefore to remind all employers that the returns for the calendar year ending 31st December 2025 are due by 31st January 2026 and employers are advised to file their returns online through www.neaims.go.ke before the dateline,” the notice added.
NEA also noted that online filing has been introduced to simplify the process, adding that compliance certificates can be downloaded once employers complete the process of declaring their staff information.
“The online filling of employee returns have been put in place to enable employers conveniently submit their annual returns.
“Note that Compliance Certificate is available for downloading upon ‘Declaring’ your employees (filling your returns),” the statement concluded.
